The Problem

Content creators and small businesses often struggle to post consistently across multiple platforms. Manually rewriting one piece of content into Facebook, Instagram, LinkedIn, Twitter, and TikTok formats can take 20–30 minutes per post — and that adds up fast when trying to stay active on five channels at once.


The Solution

I built a two-part automation that takes a single piece of content and turns it into platform-ready, scheduled social media posts — while keeping a human approval step in the middle so nothing goes live without sign-off.

Automation 1 — AI Caption Generation Turns one piece of content into five platform-specific captions using AI, and routes it to a reviewer before anything moves forward.

Automation 2 — Scheduled Publishing Once content is approved, it’s automatically scheduled to the right platforms — no manual copy-pasting, no missed posting windows.


𝐀𝐮𝐭𝐨𝐦𝐚𝐭𝐢𝐨𝐧 𝟏: 𝐀𝐈 𝐂𝐚𝐩𝐭𝐢𝐨𝐧 𝐆𝐞𝐧𝐞𝐫𝐚𝐭𝐢𝐨𝐧

How it works

  1. Input — A content idea (topic + main content) is added to Airtable and marked Draft while still being refined.
  2. Trigger — Once finalized, the status is changed to Ready to Post. This triggers the Zap.
  3. Filter (Safety Gate) — The automation checks that the status is exactly “Ready to Post” and that the content field isn’t empty, before doing anything else.
  4. AI Generation — The content is sent to OpenAI, which generates five tailored captions — one each for Facebook, Instagram, LinkedIn, Twitter, and TikTok — in a single structured response.
  5. Extraction — Since the AI returns all five captions in one text block, Formatter by Zapier splits them into five clean, separate captions.
  6. Update Record — The captions are written back into Airtable, and the status automatically updates to Pending Client Approval.
  7. Notification — A Slack message notifies the team that new content is ready for review, with a link straight to the record.
