Overview

An operating routine setting out what is checked on the account, at what frequency, and which items are not to be changed between review points. Written so the account can be run consistently without re-deriving the reasoning each time.

Objective

Standardise recurring account work into a documented routine that another person could follow, and remove judgement from decisions that should run on fixed thresholds.

Cadence

Daily - Account health, buy box, stock position and anything that can take a listing down. Kept short.

Weekly, same day each week - Full performance review against the eight-week trend. Harvest and negate decisions are made here.

Monthly, first week - Structural review covering campaign architecture, budget allocation and catalogue-level issues.

Quarterly - Threshold recalculation. Fees, landed cost and account conversion rate are re-checked and the downstream limits regenerated.

Decision rules

Harvest and negate both run on fixed thresholds rather than assessment.

Harvest - A search term qualifies as an exact keyword at two or more orders with ACoS at or below the ceiling.

Negate - A term is blocked at zero orders combined with spend at or above the break-even cost per order.

Applying the same rule each week produces comparable data across weeks. Varying the rule does not.

Hold periods

The checklist specifies which items are not to be touched between review points. Bid changes need a settling window before the result can be read, and the instinct during a poor week is to intervene again before the previous change has resolved. Recording the hold period explicitly is what makes it hold.

Per-upload routine

Every bulk push follows the same steps. Scope is defined before the file is built. The change log is written alongside the upload rather than afterwards. Evidence is recorded against each row.

Threshold dependency

Stated at the foot of the checklist. All thresholds derive from the unit economics: $29.99 sale price, $16.13 contribution margin, 52% operating ceiling and 5.1% account conversion rate. The checklist references the model rather than restating the figures, so the two cannot drift apart.
