Overview

A method for reviewing customer complaints across products, grouping them by issue type, and routing each group to the function that can act on it. Recurring issues are written back into pre-production inspection criteria.

Objective

Convert post-sale feedback into product, supplier and listing changes, rather than treating complaints as a customer service cost absorbed each month.

Method

Complaints are grouped by product and by issue type before any conclusion is drawn. A single negative review is an outlier. The same failure described repeatedly is a defect.

Each group is then classified by cause.

Category Routed to
Product performance Product development review
Durability and build quality Supplier, material or workmanship
Compatibility and fit Specification review, or listing accuracy
Instructions and customer education Listing content and packaging inserts

The fourth category is the one most often misclassified. A product that works but is not understood generates complaints in the same tone as a product that fails, and the correction is content rather than manufacturing.

Routing

Each classified group is assigned an owner and a destination. Quality and fitment issues go to the supplier with the pattern documented rather than an individual complaint forwarded. Instruction gaps go to listing content and packaging. Performance concerns enter the next product development cycle.

Closing the loop

Recurring issues are added to the pre-production inspection criteria so the following run is checked for the failure that actually occurred in service.
