π This is a self-initiated demo project using a fictional client to demonstrate my EA/Ops process.
Client background (Fictional Client Profile)
Maya Chen is the solo founder of RMP Skincare, a 5-person skincare startup selling direct-to-consumer through Amazon, currently doing about $15K/month in revenue. She handles sales, product, and hiring herself, with no admin support. Customer emails and supplier invoices land in one inbox with no triage system, so time-sensitive things β like a supplier discount deadline β get buried for days. Her calendar gets double-booked because she accepts meetings without checking for conflicts or asking for an agenda first, and she's stopped taking notes in meetings entirely because "I never have time to write anything down anyway," so decisions get forgotten and follow-ups don't happen. She's said she doesn't need someone to just manage her calendar β she needs someone to build a system so things stop falling through the cracks

Inbox & Calendar Triage SOP*(Process I built for this demo)*
Inbox Triage SOP
- Check inbox at 2 set times daily (e.g., 9 AM and 3 PM).
- Categorize by sender type first (Customer / Supplier-Vendor / Internal / Other),
then tag by urgency: Urgent/Important/Delegatable/Low Value
- Archive low-value emails.
- Delegate routine items.
- Flag founder-required decisions with a clear deadline if one exists.
- Prepare executive summary β 5 bullets max: unresolved urgent items,
decisions needed from founder, anything due within 48 hours.
Calendar Scheduling SOP
- Receive meeting request.
- Check meeting purpose and agenda. (If no agenda is provided, request one before confirming the meeting. Do not schedule agenda-less meetings unless the requester is a VIP or the matter is time-sensitive).
- Confirm founder attendance is required.
- Check if meetings can be delegated or handled via email.
- Review founder calendar and protected focus blocks.
- Check for conflicts, travel, and personal commitments.
