The biggest shift is not learning better prompts. It is letting AI work from the same source material you work from.

If every request starts with you copying emails, uploading files, explaining the project again, and reconstructing history, you are still carrying the system.

1. Start with one workflow

Go back to one item from your Mental Load Audit and ask:

Where does the information for this already live?

Common sources:

• email
• calendar
• Google Drive or another file system
• Notion or another knowledge base
• Slack or Teams
• task or project-management tools
• financial or operational systems

You do not need to connect everything. Connect only what is relevant to the workflow you are trying to improve.

2. Prefer the source over copy-paste

If your AI tool supports a secure connection to the source you need, use that instead of repeatedly feeding it screenshots, pasted emails, or duplicate files.

Features and permissions vary by AI tool, plan, and workplace. Before connecting anything:

• understand what the connection can read or change
• use the narrowest access that still solves the problem
• keep approval on for consequential actions
