Your property has just had a turn completed and is now with our leasing department, here is what to expect next:
- You will receive an email from the Leasing Coordinator once the property has been listed. This email will include lots of great information on the next steps in the leasing process.
- Once leasing receives notification from the maintenance department that the property is ready to be listed, your property will be listed for rent within 48 hours.
- The listing will include:
- Great photos and video of the interior and exterior of the property.
- All important information regarding what’s included in the property as well as our criteria is included in the listing.
- Price & availability
- Our listings are extensive with lots of information. Most questions can be answered in the listing description for all of our listed properties.
- Once the listing is submitted, your property will be listed on many sites in addition to IHREPM’s website (www.ihrepm.com).
- Majority of the properties we manage are able to support a self-showing device that allows prospects to schedule a showing the same day and view the property in person on their own. This option is completely safe and secure as we require state issued valid ID information for this showing option. For properties that can’t support a self showing device, please contact us for special arrangements and pricing details at ([email protected]). In order to schedule a showing, the applicant must pass the prescreening questions asked to schedule a showing. This ensures we’re showing the property to prospects that will meet our rental criteria.
- We use RentEngine.io to coordinate all our leasing activity. Every week you will get a report from them detailing all activity at your property.
- The Leasing Coordinator will contact you every 7 days after the first initial email if your property isn’t leased before then. Moving forward, you’ll receive an update 1-2 times per week until the property is leased. Updates will be sent via email.
- When a property is not getting many showings, a plan is made at this time to aide in getting more interest for the upcoming week. This plan may include lowering the base rent amount, switching the order of listing photos, adding a move in special, adding a sign in the yard, and/or asking the client to change pet preference (if applicable) just to name a few. If a price drop doesn’t happen at the beginning of the week, it’s possible that we may drop the listing price on Thursday afternoon to garner more interest for the upcoming weekend. Information on rent drop amounts are included on the initial listing email sent from the Leasing Coordinator.
- We require an in person showing for all properties when possible. If this isn’t possible due to pre-leasing, a video is provided and required to view as well the prospect(s) are required to drive by the property.
- All prospects that will be living at that property 18 years or older are required to apply separately. We process applications on a first come, first serve basis. We don’t process everyone’s application and decide which set of applications or application would make the best tenant(s). Our application software will provide us with eviction, criminal and credit score when processed. If there is a red flag once we receive this information, we will not continue with the application process and issue a denial letter (adverse action letter) via email to the applicant(s).
- Our criteria is as follows:
- No evictions or eviction filings in the last 5 years.
- Certain criminal convictions in the last 10 years (violent, financial or property).
- Credit score above 600. Scores are averaged for multiple applicants.
- Combined monthly household income of less than 3x rent. Income is combined for multiple applicants.
- Unable to show clean rental history (unless first time renting).
- Outstanding utility bill or balance with current or former landlord.
- We review residential history in house. A form is sent to previous landlord and phone calls are made based on feedback or review given.
- Once the Leasing Coordinator has all the information completed, the information is passed on to our Operations Manager to review and approve or deny the applicant(s).
- Once our Operations Manager has reviewed the completed application and a decision is made, the Leasing Coordinator will either extend an financial offer to rent the property or a denial letter (adverse action letter) with the reasons of denial.
- We don’t accept double deposits. We Collect 1x and up to 1.5x though other programs such as Obligo and Zero Deposit.
- Once we have confirmed financial offer then we will prepare the lease and send for e-signature(s) with the approved applicant(s).
- We allow the new tenant(s) 24 hours to sign the lease. During this time, we allow tenants to ask questions regarding the lease and/or clarification on maintenance items that they saw during their showing.
- Deposit is due within 48 hours of lease signing. This can be paid online via our tenant portal (lease start date must be at least 10 days out ) or brought to our office and paid using guaranteed funds (cashier’s check or money order).
- We allow leases to start within 7 business days of scheduled lease signing up to 35 days of application approval.
