What this feature does: Mapping rules fill or correct document fields automatically: if a condition matches, then set a field to a value, another field or a formula (e.g. supplier X → GL account Y).

Who uses it: Admins / implementation team

Where: Sidebar → Configuration → Mapping · /configuration/input-csv-mapping

Step by step

Three tabs: Mappings · Upload Requests · Download Requests. The button at the top changes with the tab (Add mapping, Upload bulk mapping, Download).

1. Add a mapping rule

Add mapping → Add New Mapping → Add an Individual Mapping

Add an Individual Mapping: conditions, map values, execution order and notes

Add an Individual Mapping: conditions, map values, execution order and notes

  1. Apply Conditions: If <field> Is <operator> <value>. Operators: Equals · Like · Starts with · Not starts with · Not equals · Not like. Add Another Condition for more. All conditions must match (AND).
  2. Map Values: Set <target field> to a Direct Value, another Field or a Formula. Add Another Mapping to set several fields.
  3. Execution order: lower numbers run first. Two rules can't share the same order; leave gaps (100, 200…) so you can insert rules later.
  4. Notes (optional, up to 100 characters) → Create Mapping.

Formulas reference fields in braces, e.g. {Total Amount} - {Total Tax} (add, subtract, multiply, divide). Fields starting with items are line-level, e.g. {items delivery note}.

Rule for every document: a condition is required. Use one that is always true, e.g. Vendor Company ID Not equals generic condition - always apply.
