Purpose

Ensures every client meeting runs smoothly and nothing discussed gets lost afterward.

When to Use This

Before, during, and after any client meeting.

Steps

Before the meeting:

  1. Confirm the meeting time with the client at least 30 minutes prior.
  2. Send the meeting link to all attendees 10 minutes before start time.
  3. Confirm the corresponding Meetings database row exists, with Client, Project, Date, and Attendees filled in.

During the meeting:

  1. Welcome attendees warmly and professionally.
  2. Introduce all participants, even if previously acquainted.
  3. Take notes directly in the meeting's Notes field as the discussion happens.
  4. Share any external details or documents the client requests.

After the meeting:

  1. Use the "+ Add Action Item" button on the Meeting row to create a Task for every commitment made during the call.
  2. Fill in Project and Due Date for each new Task.
  3. Send a brief follow-up email to the client summarizing key points and next steps.

Notes

Every client meeting should result in at least one linked Task — a meeting with zero follow-up items is a signal something discussed may have been dropped.
