Purpose
Ensures every client meeting runs smoothly and nothing discussed gets lost afterward.
When to Use This
Before, during, and after any client meeting.
Steps
Before the meeting:
- Confirm the meeting time with the client at least 30 minutes prior.
- Send the meeting link to all attendees 10 minutes before start time.
- Confirm the corresponding Meetings database row exists, with Client, Project, Date, and Attendees filled in.
During the meeting:
- Welcome attendees warmly and professionally.
- Introduce all participants, even if previously acquainted.
- Take notes directly in the meeting's Notes field as the discussion happens.
- Share any external details or documents the client requests.
After the meeting:
- Use the "+ Add Action Item" button on the Meeting row to create a Task for every commitment made during the call.
- Fill in Project and Due Date for each new Task.
- Send a brief follow-up email to the client summarizing key points and next steps.
Notes
Every client meeting should result in at least one linked Task — a meeting with zero follow-up items is a signal something discussed may have been dropped.
