Taking Over Meeting, Documentation, and Correspondence Operations for a Remote Nonprofit

Herbal Sehat Indonesia — Secretary General (Volunteer), Aug–Nov 2024, Remote

The Problem

Before I joined, one person was managing the entire operations function alone. They were responsible for running projects, coordinating with IT and finance, organising meetings, taking notes, tracking attendance, and handling official letters and documents. With so much on their plate, meeting documentation, correspondence, and filing often fell behind.

What I Did

I joined as Secretary General and took responsibility for the meeting and documentation side of operations. I created a standard agenda template, prepared meeting minutes on the same day, tracked attendance, handled official correspondence, and organised document filing.

I also built a Google Drive structure organised by team and project, making files easier to manage and find. To improve the quarterly sales reporting process, I taught myself Excel and created a standardised sales recap using pivot tables.

The Result

I documented 25+ meetings and reduced the operations team's weekly administrative workload by 30–40% across six departments. This gave the person responsible for projects, IT, and finance more time to focus on those areas.

Tools Used

Google Drive, Google Docs, Excel (Pivot Tables), Zoom, YouTube
