You're running bi-weekly marketing reports for private K–12 schools. Most of the work is already automated — the job is the judgment layer: verify, polish, send. Plan on 15–30 minutes per school per cycle.
Day 1 — Get set up
- [ ] Accept your Hubstaff invite (check your email). You're hourly — install Hubstaff and start your timer now, including while you read this and click around. All work time is tracked there.
- [ ] Bookmark the dashboard: reports.schoolstorytellers.com — this is home base. Everything below lives there.
- [ ] Sign up for a free LastPass account (lastpass.com) and send Janet the email you used — she'll share each school's form-dashboard password to it (you'll need them to verify form fills).
- [ ] Notion access — the school hub pages will be shared to your email; accept the invites when they arrive.
- [ ] Read the in-app guide: click the ? button in the top-right of the dashboard. Four short tabs — the weekly flow, what's automated, the schools, and onboarding new schools.
- [ ] Watch the form-fill Loom: Maclay walkthrough. Sacred Heart's video doesn't exist yet — its form dashboard works similarly (link is inside its report; creds in LastPass).
- [ ] Get acquainted: open each school from the "Jump to school hub" menu and skim its current report and Past reports tab. That's the voice and format you're maintaining.
- [ ] Look at the sample report (jump menu → "Sample report (for prospects)") — the idealized version of what every school receives, and the template we duplicate when a new school signs.
The job — your bi-weekly rhythm
- Monday morning, open the dashboard. The banner tells you which schools are due this week. Reports are due 4 days after a reporting period closes.
- Open the school's report. Stats are already pulled from the ad platforms and GA4, and an AI draft of the overview, channel notes, next steps, and client email is waiting.
- Verify form fills — the one manual stat. Log into the school's form dashboard (Inquiry Reconciliation section has the link), count inquiries for the period, and fix the number if the platforms under-reported. Platform "leads" often miss form fills — your verified count is the truth.
- Edit the AI text. Tighten anything that reads off. Your edits are remembered and teach the next draft your style.
- Draft the email — don't send it yourself (for now). Compose it as a draft in Janet's inbox using the ready-made email in the report, then ping Janet that it's ready for review. She'll review and send. Don't click Mark sent yet — the dashboard should match reality, so only mark it once Janet confirms the email actually went out. After a few cycles, you'll start sending directly.
- After client calls: log any real question the client asked in the Client Questions box at the bottom of the dashboard. Good ones get promoted to Blog Ideas — that list drives our content.
