1. Introduction

1.1 This Refund & Cancellation Policy ("Policy") applies to all payments made in connection with the event "RUN FOR LOLAB 2026" ("Event"), organized by Kafila Foundation (J&K) ("Kafila Foundation", "we", "us", "our"), including Registration Fees, donations, and sponsorship/partnership contributions, regardless of the payment method used, including direct bank transfer or UPI payment via the Kafila Foundation SBI (State Bank of India) account QR code displayed on the registration form, or any other approved payment gateway (such as Razorpay), UPI application, or bank transfer.

1.2 This Policy should be read together with our Terms & Conditions and Privacy Policy. By making a payment to Kafila Foundation, you agree to the terms of this Policy.

1.3 As a non-profit organization, Kafila Foundation manages funds responsibly and in furtherance of its charitable objectives. As a general rule, all Registration Fees, Donations, and Sponsorship Contributions made in connection with the Event are non-refundable. The only exceptions to this rule are genuine duplicate/erroneous payments and cancellation of the Event in its entirety by Kafila Foundation, as set out in the specific clauses below.

2. Definitions

2.1 "Registration Fee" means the amount paid by an eligible Participant (18+ years) to register for the Event.

2.2 "Donation" means any voluntary financial contribution made to Kafila Foundation, whether linked to the Event or otherwise, without expectation of goods or services in return.

2.3 "Sponsorship Contribution" means any payment made by a Sponsor, CSR Partner, or business under a Sponsorship Agreement in exchange for agreed branding, recognition, or promotional benefits.

2.4 "Duplicate Payment" means a payment mistakenly made more than once by the same individual or entity for the same registration, donation, or sponsorship obligation.

3. Registration Fees — General Principles

3.1 Registration Fees are collected to cover event logistics, safety arrangements, materials (such as bibs, medals, and certificates), venue and route management, and administrative costs associated with organizing the Event.

3.2 Registration Fees are strictly non-refundable in all circumstances of voluntary cancellation, change of mind, or non-attendance by the Participant. The only exceptions to this rule are: (a) genuine Duplicate Payments (Clause 6), (b) confirmed Payment Failures where no valid registration was created (Clause 7), and (c) cancellation of the Event in its entirety by Kafila Foundation itself (Clause 8). No other refund, partial refund, or credit shall be due on Registration Fees under any circumstances.

4. Participant Cancellation

4.1 If a Participant chooses to withdraw from the Event at any time after successfully completing registration and payment, for any reason whatsoever, no refund of the Registration Fee shall be payable, regardless of how far in advance the cancellation is communicated.

4.2 Kafila Foundation may, at its sole discretion and purely as a goodwill gesture (and not as a matter of right for the Participant), permit a registration to be transferred to another eligible individual or deferred to a future edition of the Event, in lieu of a monetary refund. Such requests are not guaranteed to be accepted.

4.3 Cancellation requests, if made for record-keeping purposes, must be submitted in writing to [email protected], along with proof of payment and registration details, but submission of such a request does not entitle the Participant to any refund.

5. No-Show

5.1 Participants who fail to appear at the Event venue on the Event day without prior cancellation ("No-Show") shall not be entitled to any refund of the Registration Fee.
