Travelbase LLC (QFC No. 04202) (“Travelbase”, “we”, “us”, “our”) is a travel and payments infrastructure company registered in the Qatar Financial Centre and headquartered in Doha, Qatar. We operate a travel and expense management platform for businesses and a travel and payments API for companies that embed travel services into their own products.
This policy explains what personal information we collect through our website at travelbase.ai, our web and mobile applications, and our API services; how we use it; who we share it with; and the rights you have over it.
You may interact with Travelbase in one of several capacities, and what we do with your information depends on which one applies to you:
Website visitors — people browsing travelbase.ai, requesting a demo, or contacting us.
Corporate customers — businesses that subscribe to the Travelbase platform, and the individuals who represent them.
Platform users — employees, travelers, or guests of a corporate customer who use Travelbase because their organization has made it available to them.
API clients and their end users — companies that integrate the Travelbase API, and the travelers whose bookings and payments are processed through that integration.
This distinction matters, because it determines who is responsible for your data and who you should contact to exercise your rights.
Where we act as a processor. When you use Travelbase because your employer or another organization has purchased our platform, or when your booking is processed through a company that has integrated our API, that organization is the controller of your personal information. We process it on their documented instructions, under the terms of our agreement with them, and consistent with this policy. If you are a platform user or the end user of an API client, requests about your data should generally be directed to that organization first; we will support them in responding.
Where we act as a controller. We are the controller of personal information belonging to website visitors, prospective customers, and the authorized representatives of our corporate customers and API clients. We are also the controller of information we must process to meet our own legal obligations, including anti-money-laundering, know-your-customer, and sanctions screening requirements.
Information you provide. When you request a demo, contact us, or sign up, we collect your name, business email address, phone number, company name, and role. When an account is created on the platform, we collect the account holder’s name, work contact details, and, where required for travel bookings, traveler details such as date of birth, nationality, passport or travel document data, loyalty program numbers, and travel preferences. When payments are made through the platform, payment card details and billing information are collected and processed by our licensed payment services partner (see Section 5); Travelbase does not store full card numbers on its own systems.
Information provided by others. A corporate customer or its administrators may provide information about their employees or guests when creating accounts or arranging travel on their behalf. If you provide us with information about another person, you confirm you are authorized to do so.
Information collected automatically. Like most online services, we collect technical information when you use our website or applications: IP address, device and browser type, operating system, pages viewed, actions taken, timestamps, and approximate location derived from IP address. We use cookies and similar technologies for this purpose; our Cookie Policy explains the categories used and your choices.
Information from third parties. For compliance and fraud prevention, we and our payment services partner may receive information from identity verification providers, sanctions and watchlist screening services, and publicly available sources.
