KomaRep (the "App") is an iPhone and Android app for planning your day in Pomodoro "blocks", recording how much of each block you got done, and reviewing your progress. The developer of the App (the "Developer") respects your privacy and handles personal information as described below.
1. Our approach
- Your plans and records (tasks, blocks, completion, notes, goals, goal notes, routines, settings) are stored on your device. When "Sync with iCloud" is on (the default), your tasks, blocks, completion, notes, goals and routines are also stored in your own iCloud (Apple's CloudKit private database) and synced between devices signed in to the same Apple Account. The Developer cannot access them.
- Data leaves your device only when iCloud sync is on (to your own iCloud), when you use the AI features (Cloud AI or your own API key), when ads are shown, when purchases are verified, and when you send us feedback by email (see below).
- The Developer never sells your personal information or shares it with third parties for advertising.
2. Data we handle and why
- Plans and records (task names, block times, completion, actual time spent, notes, goals, goal notes, routines)
- Used to create and show your plan, record progress, total up reviews, send notifications, and show the Lock Screen timer
- Stored on your device (and in your iCloud when "Sync with iCloud" is on; goal notes stay on your device)
- Calendar (the iPhone Calendar, only if you allow access)
- Read: event times and titles are used to plan around your events and to show them in the App.
- Write: saved plans are written as events to the calendar you choose (you can also choose not to write). The App never changes or deletes events it didn't create.
- Calendar events are never sent to AI services or the Developer's server.
- Microphone (voice input on the Today screen and recording a Vlog video yourself, only if you allow access)
- Used to turn what you say into text on your device and add it to today's plan. Your voice and the text are not saved and are never sent to AI services or the Developer's server.
- When you record a Vlog video with the button on the Focus screen, it is also used for the video's sound (automatic time-lapse never uses the microphone).
- Camera (Vlog (time-lapse), only if you turn it on in Settings and allow access)
- Used to film one second about every 5 minutes during work blocks while the Focus screen is open, and to record videos when you press the button.
- Footage is stored only on your device (excluded from backups) and is never sent to iCloud, AI services, or the Developer's server. If you choose "Blur faces", face positions in the footage are found with on-device face detection (Apple's Vision) and saved on your device alongside the footage (no facial features are stored, and faces are not identified). Footage is deleted automatically 7 days after you export the Vlog, or after 14 days if you don't. The small copy kept for your review (your finished Vlog) stays on your device until you delete it, and is included in your iPhone backup (including iCloud Backup) so you can still watch it on a new iPhone.
- Photos (add only, only if you allow access)
- Used to save share images, exported Vlogs, and videos you recorded to Photos. The App never reads your photo library.
- Notifications
- Used to tell you when a block starts or ends. Notifications are scheduled on your device; no external server is used.
- Settings (theme, block length, sounds, etc.)
- Handoff to ImaMemo (only if the Developer's app "ImaMemo" is installed and "Send notes to ImaMemo" is on in Settings)
- Block notes and day reflections are passed to ImaMemo on your device, together with the block's task name, times and time spent (for a day reflection, the time per task that day). They go through an on-device storage area that only the Developer's apps can use (an App Group) and are never sent to an external server.
- Day reflections are stored on your device and are not synced with iCloud.
- Once passed to ImaMemo, they are handled under ImaMemo's privacy policy. Turn the setting off to stop passing them.
3. AI features
The App offers three AI options, which send different data.
- On-device AI (Apple Intelligence): used by default on iPhones that support Apple Intelligence. No data leaves your device.
- Cloud AI: used automatically on iPhones without Apple Intelligence, or when you choose it in Settings. Before the first use, the App shows what is sent and to whom, and asks for your consent.
- What is sent: for "AI Input", the text you enter, your task names, the current time and the day being planned. For "AI review", a summary of your records (task names, planned and completed time, completion rate, time per day, streak, goals) and your goal notes. For a countdown's "AI advice", the countdown's name, date and time goal, recent time on that task and the weekdays you usually do it, and your goal notes. Block notes and calendar events are never sent.
- Where it goes: through a relay server operated by the Developer (on Cloudflare) to AI providers (Google's Gemini API and Anthropic's Claude API), where it is used only to generate the response. Both are paid APIs, and what you send is not used to train their models. It is handled under each provider's privacy policy (Google, Anthropic).
- What the relay server stores: it does not store the text or summaries you send. It keeps only an identifier used to count monthly usage (an Apple In-App Purchase transaction ID, or an ID showing the App was downloaded from the App Store), the count, and aggregate usage per feature (counts and processing time). It does not handle names, email addresses, or device identifiers.
- Authentication: eligibility for the free allowance and KomaRep Plus is verified on the relay server using Apple-signed purchase information. No account is required.
