The working register behind *Capacity and Surge: What You Own, What You Rent, and Who You Call. That page argues reciprocal capacity is the cheapest surge lever in the trade. This page is where the terms live so the arrangement survives contact with a real week.*

How to use this register. Print this page or save it as a PDF and fill it in by hand, or copy it into your own document. Build it in the trough, not during a season. One row per reciprocal shop and one row per bench trade. A row with blanks in it is just a phone number.

These are peers, not subcontractors, which is why the terms need writing down. A subcontractor relationship has paperwork because everyone expects it to. A reciprocal one has none because it started as a favor between two people who liked each other, and the favor is exactly what makes the settlement afterwards hard to have.
Six terms, per shop. All six, or the row does not count.
Two clean structures. Either the helping shop is a subcontractor billing you at agreed labor and equipment rates, or the two of you split the job on a stated percentage with one of you holding the customer contract. The third option, leaving it open and settling later, means settling after the money is in dispute and both parties remember the arrangement in the way that suits them.

This term decides most of the others, and it is the one that gets skipped because it feels obvious in the moment. If their technicians work under your supervisor, taking your direction, on your job, expect employer duties toward them to sit with you. If they work as a crew under their own lead, they are a subcontractor and your full subcontractor packet applies to them: vetting, agreement, certificates, the lot. Pick one, name it in the document, and make the answer match what actually happens on site rather than what the paperwork wishes happened.
One duty that follows the borrowed body either way. Nobody who is not on your payroll puts on a tight-fitting respirator on your job without a current medical evaluation and a current fit test for the exact facepiece they will wear, make, model and size. The fit test travels with the facepiece, not with the person, so a fit test on their own company's mask does not cover a different mask off your shelf. Get the paper before the shift and record which employer holds it. The rule and its citations are on Capacity and Surge: What You Own, What You Rent, and Who You Call, and the written program it sits inside is in The OSHA Programs a Restoration Shop Actually Needs.

A certificate of liability insurance is evidence that a policy existed on the day it was issued. It confers nothing on you and it does not alter the coverage, as the ACORD 25 form says on its face. What you actually want are carrier endorsements requested by form number, and the one people forget is the completed-operations endorsement, which is the one that still matters after everybody has demobilized. Get a waiver of subrogation in force before the loss. The standard CGL condition says the insured must do nothing after a loss to impair the carrier's right of recovery (ISO form CG 00 01, Section IV, Transfer of Rights of Recovery; read the wording in your own policy), so a waiver added after a claim is reported is not one the policy backs. Send the arrangement to your broker and get written confirmation that the policy can issue the specific forms, at the limits you need, effective before anyone mobilizes. A certificate alone does not count. The form mechanics are set out in The MSA Renewal Register.
